SELECTED TERMS OF EMPLOYMENT STATEMENT - 

EMPLOYMENT AUTHORIZATION:

 

Under federal law, all new employees must prove their identity and authorization to work in the United States by presenting government issued document(s) and completing an I-9 form.  Please reference the onboarding portal to complete the electronic I-9.   Your employment is also contingent on satisfactory completion of the Company's standardized background check.  This includes verification of education, employment, criminal record and other additional checks that may be required, based on the position.

 

PAYROLL -DIRECT DEPOSIT:

 

Self Reporting: As a Salaried (Exempt) manager, you will be required to report only your exceptions to regular pay, such as vacation, sick, personal, jury duty, funeral pay. You will report these exceptions directly into a web based system call eTIME. Time off must be entered in the pay period in which it was taken. You can access eTIME via SodexoNet using the single sign on via the home page. Coordination of your time off will need to be discussed and approved by your supervisor.

 

Direct Deposit: You are required to receive your pay by electronic means within 45 days of employment.  Sodexo offers you two fast, easy and safe ways to get paid:  Direct Deposit to a Bank Account or Direct Deposit to the Money Network® Service (MNS) with the Bank of America Debit Card.  Instructions regarding direct deposit to a bank account are explained in the New Employee On-Boarding Portal.  To request an MNS enrollment kit, upon hire please send an email to PayrollOps.USA@sodexo.com.  On or after your hire date, we encourage you to visit the Employee Self Service (ESS) portal for more information.  ESS can be accessed from Sodexo Net or https://portal.adp.com (registration pass code: Sodexo-Sodexo).  You will also see instructions on how to enroll in the Expense Report direct deposit in your welcome email.

 

Compensation and benefit plans evolve as business needs and laws change.  The company reserves the right to modify, rescind, suspend or cancel any of these plans at any point in time.  In the event of such changes you will be notified as required by law.

 

Please understand that your compensation is confidential and should only be discussed with your immediate supervisor or a representative from Human Resources.  You should not discuss any compensation concerns with your peers.

 

PAYROLL EARNINGS STATEMENT:

 

Upon hire, please note the following regarding your payroll earnings statement:

  • For employees that work in California, Delaware, Minnesota, or New Mexico, we are notifying you that we are suppressing the mailing of your Earnings Statement.  Given your state law, you have the option to opt out and request continued delivery.  Please do so by sending an email to PayrollOps   at PayrollOps.USA@Sodexo.com and we will ensure that your statement continues to be mailed.
  • For employees that work in Arizona, Hawaii, Oregon, or Vermont we encourage you to sign up for electronic delivery of Earnings Statements.  If you desire to participate, please access the Employee Self-Service Portal to initiate `Paperless’. 
  • All employees in remaining states, your earnings statement will be automatically suppressed.  Please visit the Employee Self-Service portal to view or print your statement.  You can also set up an email alert when a new payroll statement is available for viewing.
  • For additional support, contact Sodexo's Employee Service Center - 877 PAYSDXO (729-7396) - Select Payroll.

 

ORIENTATION AND EMPLOYEE PROGRAMS:

 

You will be invited to attend our company orientation program, to learn about our philosophy, products and services.  During this class, you will have the opportunity to meet other managers who have chosen to join our organization. This will be one of the many opportunities you will have to ask questions about the Company, our marketplace, our policies and procedures and to see what Sodexo has to offer you.  Part of your orientation to Sodexo is a five-phased program called “Come Alive at Sodexo – A One-Year Growth Plan for New Managers”. You will receive an email from Sodexo’s Learning & Performance Operations Team prompting you to register for:

  • Spirit of Inclusion, Sodexo’s Introduction to Diversity & Inclusion Training
  • Two online classes titled “Arrive” and “Drive” (The first two phases of Come Alive at Sodexo)
  • “Get Live” (A three day classroom event which is the third phase of Come Alive)
  • “Strive” and “Thrive” (The last two phases of Come Alive)

 

Headquarters and Recruiting employees only:

Additionally, you will be invited to attend a Corporate Headquarters Orientation program where you will receive additional useful information.

 

EDUCATIONAL ASSISTANCE:

 

After one year of employment, you will be eligible to participate in the Sodexo Educational Assistance Program.

 

PERFORMANCE REVIEW AND SALARY INCREASES:

 

Sodexo’s performance and development process is a year-round process that allows you and your manager to set goals and measure how well your performance supports our company values.  Employees are evaluated on their performance during Sodexo’s fiscal year which ends at or near the end of August.  The development and delivery of the appraisal begins in September after the close of the fiscal year. Individuals who are hired between June 1 and the end of the fiscal year will not receive (per Company policy) a formal performance appraisal for the current fiscal year due to their short period of time with the organization.

 

Approved annual merit salary increases are performance-based and become effective in early January of each year.  Individuals who do not work the entire fiscal year may be eligible for a merit increase to be prorated based on actual weeks worked during the fiscal year.  Employees not receiving a formal performance appraisal due to hire date may be eligible for a salary increase (assuming that your performance is considered at least satisfactory) at a standard percentage determined by Sodexo.

 

BENEFITS INFORMATION:

 

Within three (3) weeks of your start date, you will receive materials detailing Sodexo’s health and welfare benefit plans, how and when to enroll in such plans, and when your coverage will become effective should you enroll.  Sodexo provides generous health and welfare plan offerings to eligible employees, including a medical plan with several options, a dental plan, a vision plan, disability insurance, and life insurance.  Please note that if you fail or choose not to enroll in any or all of the health and welfare benefit plans within the allotted time provided, notwithstanding a qualifying event, you will not be eligible for such coverage until the next Annual Enrollment.  In addition, if you do not elect to participate in the life insurance plan(s) and/or the disability insurance plan(s) upon the initial offering, but choose to do so at a later date, at that time you will be subject to completing an Evidence of Insurability, which may affect your coverage under those plans.

Sodexo is proud to offer automatic enrollment in the Sodexo 401(k) Retirement and Savings Program at 1% of your salary.  You can expect to see a deduction in your paycheck within 30 to 45 days from your hire date.  You will be receiving an enrollment kit from Voya Financial, detailing the steps you need to follow to take full advantage of the Sodexo Retirement and Savings ProgramEmployees can use the Sodexo Savings Plan web site to increase or decrease their contributions anytime they wish.   (Note that if you do not wish to participate in the Sodexo Retirement and Savings Program, you must actively opt-out of the program by following the instructions in the enrollment kit).

 

PAID TIME OFF:

If you are classified as full-time and non-temporary, you are eligible for paid vacation and sick leave. The rate at which you earn vacation will be based on your service date, which includes credit for prior service. You are entitled to earn up to 7 days of sick leave during your first calendar year of employment, prorated based on your date of hire.  Thereafter, each calendar year, you will be allocated vacation days and earn sick leave consistent with the Sodexo policy in effect at that time. Vacation days must be used in the year allocated, and unused days will be forfeited at the end of each Plan Year.  Please note that, in general, while you begin earning sick time from your first day of employment, it is not available for use until after six months of employment and accumulates year to year to a maximum of 50 days.  However, please check with your HR Manager, as the amount of sick leave you can earn and the date you may begin using such leave may vary depending on the city and/or state where you work.  You are also eligible for up to eight (8) paid Sodexo holidays and three (3) Personal days per calendar year.  Personal days may not be carried over from year to year.

California Only:

If you are classified as full-time and non-temporary, you are eligible for paid vacation and sick leave. On a prorated basis from your date of hire, you are entitled to earn up to 7 sick days during your first calendar year of employment.  Thereafter, each calendar year, you will earn vacation days and sick leave consistent with the Sodexo policy in effect at that time.   Please note that, while sick time accrues from your first day of employment, it is not available for use until after 89 days of employment and accumulates year to year to a maximum of 50 days.  Additionally, you are eligible for up to eight (8) paid Sodexo holidays.

ACQUISTION:

 

Your service date of (DATE) will be honored for all length of service related computations.

 

CONDITIONAL OFFER (Potential Sale):

 

This offer is conditional. The effective date for your employment will be determined upon receipt of the client signed agreement and once all of the contingencies have been met. Additionally, this letter is also contingent upon you having a successful meeting with the client.

 

SCHOOLS CONDITIONAL OFFER (POTENTIAL SALE):

This offer is contingent upon the Board of Education of the (NAME OF SCHOOL DISTRICT) School District voting to hire Sodexo to provide (food services / facilities management) to the District and Sodexo and the District executing a contract.  If the Board decides not to hire Sodexo, or if the District and Sodexo do not execute a contract, this offer will be void.

 

BONUS INFORMATION

 

SIGN ON BONUS:

 

You will receive a sign on bonus in the gross amount of $(Sign on BonusRead Only Recruiting Workflow: Job : Additional Notes). These monies will be paid to you following a successful result of your background check and as soon as administratively possible. This payment is considered conditional until the successful completion of twelve (12) months of service with Sodexo following receipt of the payment.  If you voluntarily leave the Company within that period of time, you are required to repay the Company a prorated amount of the sign on bonus.  The pro-rated amount will be calculated by reducing the sign on bonus amount by 1/12 for the completion of each 30-day period following the payment.  You agree that the Company may deduct the full amount due from any and all available salary and/or other compensation due you at the time of your separation and that you will pay any balance owing the Company within 20 days of your separation.

 

AIP  (Grade 9 and above outside the unit employees plus GMs that don’t qualify for New Unit Incentive Plan)

GENERAL MANAGER NEW UNIT BONUS  LANGUAGE:  (Include AIP and Bonus language together)

 

This (Position Title) position is bonus eligible with an incentive opportunity of (%) maximum, subject to the terms and conditions of Sodexo’s <<Division Name>> Annual Incentive Plan (AIP).  All plans are subject to change so please refer to the plan document for more detailed information.

 

You will be eligible to participate in General Manager New Unit Incentive Plan.  Your eligibility and the nature of benefits under any incentive plan will be decided under the terms of the plan in effect at the time of Company awards.  Employees must be actively employed on the last day of the fiscal year to participate in the incentive plan for that year.  A copy of the General Manager New Unit Incentive Plan can be found on SodexoNet at Employee Center>>Rewarding>>Incentive Programs>>Annual Incentive Plan.

 

 

Group Bonus:

 

This position is eligible for an annual bonus up to _% of your fixed salary, paid once a year after the accounts have been audited and is subject to the terms and conditions of Sodexo’s Group Bonus Scheme. This objective related bonus is calculated according to your success at achieving the objectives that were set and on a prorate basis with regard to your days worked during the current financial year (from September 1-August 31).  The incentive plan is subject to change, so please refer to the plan document for more detailed information.  Given the level of your position within Sodexo, the Company requires you sign the enclosed Noncompetitive Agreement.

 

NON-COMPETITIVE AGREEMENT: (GM and above)

 

Sodexo policy requires that all individuals assigned or reassigned to GM or above positions sign a Non-Competitive Agreement as a condition of continued employment.  You will not be permitted to assume your new role and no change in your title or salary will be processed until the enclosed Non-Competitive Agreement is executed.  Please sign and return the attached agreement to me and maintain a copy for your files.

 

RESOURCE POSITION:

 

This position is contingent upon your willingness to attend assigned training events and travel to work assignments and projects.  Travel may require extended overnight stays.  All reasonable and necessary travel expenses in connection with these assignments will be reimbursed in accordance with the Company’s Expense Reimbursement Policy.  Sodexo may assign you to temporary positions at accounts where your services are needed anywhere in the United States.

RELOCATION:

 

You are eligible for the company relocation program by Grade level. Upon successful completion of your background check, you will be contacted by Cartus, Sodexo’s Relocation partner to assist you with the details of your move.

 

CLINICAL DIETITIAN:

 

Sodexo is committed to providing all of its services in accordance with all applicable laws and regulations.  In accordance with the laws of the State of <State Name>, you are eligible for the position of Clinical Dietitian upon verification of your Registered Dietitian credentials.  Please provide copy of your Verification Statement on your first day of employment. All employees are responsible for conducting their activities in accordance with the laws and regulations which govern their occupation.

 

REGIONAL OPERATIONS SUPPORT INITIATIVE:

 

As part of this team you will gain “on-the-job” experience and orientation to Sodexo as you prepare for the career opportunity that meets your skills and qualifications in one of our existing unit locations or anticipated new business. The opportunity to work and gain experience on the Regional Operational Support team is designed to last no longer than twelve months, which will and should prepare you for a permanent assignment within Sodexo. The anticipated duration of the ROSI assignment is projected to be up to twelve (12) months from your date of hire: Enter that Date.

 

This position is contingent upon your willingness to attend assigned training events and travel to work assignments and/or projects.  Travel may require overnight stays; all reasonable and necessary travel expenses in connected with these assignments will be reimbursed in accordance with the Company’s Expense Reimbursement Policy.

 

CAR PROGRAM: (DM’s NCE’s or VP’s)

 

This is a vehicle eligible position which affords you the choice of a standard company vehicle or a car allowance.  Initially you will be set up on an allowance of $(700/500) per month (taxable) payable on a biweekly basis as a part of your paycheck.  In the near future you will receive instructions regarding our web based vehicle ordering system.  Please be aware that, upon ordering, the delivery of the standard vehicle that will be built for you will take 8 to 10 weeks.  Participation in either the Allowance or the Company Vehicle program requires that you (1) sign and return the enclosed Car Allowance Agreement and the Company Vehicle Agreement (2) you provide a photocopy of a current valid Driver’s License and (3) you provide a copy of a current automobile insurance policy Declaration page. A driver’s check will also be included as part of your pre-employment check.  Employment eligibility will be contingent upon favorable background check results.

Basic Functional Experience - At least 2 years sales or industry-related work experience

Sodexo will require a background check and may require a drug screen for this position.
