Conference Services Manager


This position is located at Bentley Conference Center at Bentley University in Waltham, MA.

The Conference Services Manager is a full-time role responsible for providing general business, administrative sales support and coordination to the General Manager. The Conference Services Manager will obtain meeting details from clients, i.e. set-up, audiovisual requirements, food and beverage. Communicates effectively both verbally and in writing as it relates to the Event Orders (BEOs). 

Ability to multi-task multiple meetings simultaneously and at different planning stages.

Identifies operational challenges/and or opportunities related to meeting and/or event and develops seamless solutions.


  • Quote group space and perform follow up in order to secure maximum sales
  • Manage all aspects of group booking from start to finish including quality control
  • Negotiate separate contracts related to extra allotment, functions, meetings, site inspections etc. as required
  • Answer and respond to calls from Internet inquiries
  • Proactive maintenance of local accounts.
  • Facilitate inquiries and site inspections.
  • Administrative follow up; communicate with service delivery (Conference Services).
  • Create contracts.
  • Excellent telephone sales skills.
  • Strong overall sales skills.
  • Demonstrated customer service and interpersonal skills
  • Possess a positive attitude and ability to work closely within a team environment
  • Ability to make decisions, problem solve, multi-task and work under pressure
  • Must be flexible & adaptable with working hours including shift work, weekends and holidays
  • Outlook, Microsoft Word & Excel


Basic Education Requirement - Associate's Degree
Basic Management Experience - 2 years
Basic Functional Experience – 1 year
